Alumni & Student Programs Graduate Intern

The alumni & student programs graduate intern will provide high-level project management support in a confidential and professional manner, exercising independent judgment and discretion, to the Alumni & Student Programs (ASP) team, within Alumni and Stakeholder Engagement (ASE) and the UW Alumni Association (UWAA).

The Alumni & Student Programs team creates programs and events that allow students to make connections with the alumni community. We do this through career-related programming, community-building, and social gatherings/celebrations. This position is responsible for a broad range of duties in support of Alumni & Student Programs’ activities including, but not limited to:

  • Career-related programming (such as Huskies@Work, Career Panels featuring alumni panelists, Husky Landing, Career Treks)
  • Outreach efforts (supporting Student Ambassador program, coordinating with campus partners, working collaboratively with Marketing and Communications team)
  • Community and Student Celebration programming (such as Dinner with the Pack, Homecoming Scholars, and W Day)

The alumni & student programs graduate intern works collaboratively within the ASP team and with internal and external campus partners to support a variety of projects and assignments.

The alumni & student programs graduate intern must have the ability to work in a fast-paced environment with many complexities and at times, ambiguity. This person is expected to model University Advancement’s and UWAA’s values and commitment to diversity, equity and inclusion in all interactions with internal and external stakeholders, colleagues, and other members of the UW community. The alumni and student programs graduate intern interfaces with leadership and staff across Advancement and the UW, external vendors and key partners, UWAA GOLD Council and other volunteer leaders, and others as needed.

It is responsible for developing and supporting inclusive, equity-focused and co-created programs and services with historically underrepresented or marginalized UW audiences in support of the institution’s public mission.

 

Duties and Responsibilities

 

Administration & Operations

Provide high-level support for the Alumni & Student Programs team including, but not limited to: Recruiting student and alumni participants for events and programs, organize and prioritize timeline and task lists, monitor email communications from program participants, and schedule meetings with internal and external stakeholders.

 

Project Coordination

Support the ASP team in the management and coordination of events and projects. Responsibilities may include maintaining and managing programs, projects, and task lists. This position will monitor action plans, track deadlines, and follow up with team members on assigned tasks as needed in order to meet set deadlines.

 

Research, Analysis and Planning

Conduct research and analysis projects as requested.

Assist the ASP team with planning, administration and special project management.

Other duties as assigned.

 

Supervision Received

Supervision will be joint between the Assistant Director of Alumni & Student Programs and the Associate Director of Alumni & Student Programs.

Requirements

  • High School/GED AND four years of office or administrative support experience OR equivalent education/experience.
  • Demonstrated proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook for correspondence, special reports, spreadsheets, databases, forms, etc.
  • Excellent organizational and project management skills. Ability to work independently and complete projects in a fast-paced deadline-driven environment. Experience managing multiple projects/tasks and keeping pace with rapidly changing priorities and deadlines. Ability to problem-solve, take initiative, set priorities and exercise good judgment.
  • Ability to work collaboratively within a team setting.

 

Desired qualifications

  • Familiarity with ±¬×ߺÚÁÏ operations.
  • Knowledge of student services and student affairs
  • Familiarity with student-facing programs and program management

 

Conditions of employment

Ability to work evening and weekend hours, as necessary, on short or limited notice.

Ability to lift 20 pounds regularly and up to 40 pounds occasionally for event setup and tear

down.

During Events (from setup to tear down) or on Event days:

  • Ability to stand four or more hours continuously.
  • Ability to walk four or more hours continuously.
  • Ability Standing: duration of 4+ hours for events
  • Ability to work greater than a 10 hour day
